Accounting Associate

Reports To: Accounting Manager
Position Summary
The Accounting Associate supports the Accounting Department through equipment cost administration, construction compliance documentation, and general accounting assistance. This role is responsible for processing equipment-related charges, maintaining equipment records, preparing sworn statements, tracking lien waivers, and providing support to the Accounting Manager and Controller. The ideal candidate is highly organized, detail-oriented, accurate, and capable of handling confidential information with professionalism and sound judgment.
Key Responsibilities
Equipment Cost Administration
- Process weekly job site equipment charges
- Process weekly equipment maintenance charges
- Maintain chargeable equipment accounting records, including setup and ongoing updates
- Process monthly fuel charges and maintain related accounting records
- Manage company vehicle titling, licensing, registration, and related recordkeeping
Sworn Statements & Lien Waiver Compliance
- Prepare, review, and maintain sworn statements
- Review, track, and monitor lien waivers to ensure compliance
- Coordinate with project teams and subcontractors to obtain required documentation
- Verify that waiver documentation is complete, accurate, and submitted on time
- Maintain organized records of sworn statements, lien waivers, and related compliance documents
Accounting & Administrative Support
- Provide accounting and administrative support to the Accounting Manager and Controller
- Assist with general accounting functions and special projects as assigned
- Maintain accurate records and documentation in accordance with company procedures
- Support departmental efforts to improve efficiency and reporting accuracy
Qualifications
- High school diploma or equivalent required
- Some college coursework in Accounting, Business, or a related field preferred
- Practical knowledge of bookkeeping principles and accounting practices
- Proficiency in Microsoft Office 365, particularly Excel and Outlook
- Strong organizational skills and exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information
Work Environment & Technology
- Proficiency in using computers and standard office equipment, including calculators, copiers, scanners, telephones, and related office technology
- Full-time position
- Monday through Friday schedule
- Standard eight-hour workday
